About this notice
High Performance Dental LLC provides dental-practice coaching and ownership-readiness services through Dr. Brad Stutler. Our services are offered to clients based in the United States. This notice explains how we handle personal information when you visit our website, contact us, schedule a consultation, or use our coaching services, including Associate or Owner and the Ownership Readiness Report.

Information we collect
We collect information you provide when you contact us or use our services, including:
- Your name, email address, and other contact information you choose to provide.
- Appointment details, scheduling preferences, and communications with us.
- Intake responses about your professional experience, ownership goals, leadership experience, lifestyle priorities, and broad financial circumstances.
- Information discussed during consultations, coaching notes, and the personalized reports we prepare.
- With your permission as explained below, AI-assisted meeting notes and report drafts, and any separately authorized recordings or transcripts.
- Booking and transaction information needed to administer payments, refunds, and service records.
Please provide only information relevant to your coaching needs. Where indicated, reasonable estimates, “not sure yet,” and “prefer to discuss” are acceptable intake responses.
Website hosting and other technical providers may process information such as IP addresses, browser or device details, and request logs to deliver and protect their services.
How we use information
We use information to respond to inquiries, schedule and conduct consultations, prepare personalized reports, provide coaching, administer payments and refunds, maintain business records, and address service or security issues.
We do not use your intake responses or private coaching discussions as public marketing material without your permission.
Scheduling, communications, and payments
We use Calendly for scheduling and intake, Google Workspace for business email, calendar, and document storage, and Google Meet for consultations. Stripe processes payments through the booking flow.
These providers receive information needed to perform their functions and may also process information under their own privacy terms. Please review the notices provided when using their services.
Enter payment details only in the payment provider’s checkout. Do not email card numbers or security codes to us or include them in coaching intake responses.
Google Meet, Gemini, and your permission
With your permission, we may use Gemini note-taking in Google Meet to help capture and summarize a consultation. With separate permission for report preparation, we may use Gemini within our business Google Workspace account to help organize information and draft portions of your personalized report.
Before the applicable use, we will explain the tool, what information it will process, and why we propose using it. We will ask for your affirmative permission before AI-assisted meeting notes begin and before using identifiable coaching information for AI-assisted report preparation. Booking, payment, or viewing this notice does not by itself provide that permission.
AI-assisted meeting notes are distinct from a separate audio/video recording or saved transcript. If we propose recording a meeting or creating a separate transcript, we will explain that activity and ask for your permission before starting it.
You may decline these activities and still receive your consultation and report through a manual workflow at the same agreed price. You may also ask us to stop the applicable activity going forward. Stopping future processing does not automatically remove information already processed; contact us to discuss an access or deletion request.
We treat meeting notes and AI drafts as private working materials, not automatically shared client documents. Within our business, access is restricted to Dr. Brad Stutler. We do not intentionally attach private working notes to client-facing calendar invitations or grant clients access to the underlying notes. Finished reports are provided separately.
Dr. Stutler reviews AI-assisted material before it is included in your report. AI supports preparation and organization; it does not replace his judgment or make ownership, financing, or coaching decisions for you.
Information processed by Google or another service provider is subject to the applicable service terms, account settings, and provider practices. Restricted document sharing is not a promise that a provider never processes the information. If we propose a different AI tool or a materially different use of your information, we will explain it and obtain the applicable permission before proceeding.
Website technologies and third-party services
Our website links to external scheduling and payment services. Those services may use cookies or similar technologies under their own policies, and their controls are separate from this website.
The website also loads externally hosted fonts from Fontshare. Requests for those resources can send technical information, such as your IP address, to the font provider.
We have not installed visitor analytics or advertising pixels in this website. This does not mean hosting or external service providers process no technical information. If we introduce tracking or marketing tools, we will review their privacy implications and update this notice and any applicable choices before using them.
Retention and security
We retain information for the time reasonably needed to provide services, maintain business records, comply with applicable obligations, and resolve disputes. The period depends on the type of information, the service relationship, and relevant recordkeeping needs. Information is not necessarily deleted immediately when a booking or engagement ends.
We use access restrictions and other safeguards appropriate to the information we handle. No method of transmission or storage can be guaranteed completely secure.
Your choices and requests
You may email hello@hpdentalcoaching.com to request access to, correction of, or deletion of your personal information. We may need to verify your identity and may need to retain certain records for legal or legitimate business purposes.
Additional rights may apply depending on your location and applicable law. We will consider requests in accordance with those requirements and explain any applicable limits.
Please do not email identification documents or sensitive financial information unless we have first agreed on an appropriate method for handling your request.
Sensitive information and children
Our services are professional coaching, not patient care. Do not submit patient-identifying information, medical records, Social Security numbers, passwords, bank account numbers, payment-card details, or unnecessary confidential practice documents through website inquiries, Calendly intake, or ordinary email.
The services are intended for adult professionals, not children. If you believe a child has submitted personal information to us, please contact hello@hpdentalcoaching.com so we can address it.
Changes and contact
We may update this notice as our services or practices change. The notice will identify its last-updated date, and we will provide any additional notice or choices required by applicable law.
